Deposits & Reservations - Complete the enclosed Official Registration Form, and mail, along with the appropriate deposit(s), to the address at the bottom of the form. (Note - registration by fax, e-mail, telephone (verbally with a member of our staff) or by any other means constitutes acceptance of all terms and conditions as outlined in this document and method of registration is by choice of the registrant.)
Registrations and final payment(s) are due no later than 75 days prior to departure. Deposits of $500 per person are required to effect a reservation. This deposit forms part of the final payment that is billed to your account, and due not later than 75 days prior to departure. Passengers failing to meet this deadline are automatically liable for final payment and will be charged for the balance due on their account, unless written notification or other arrangements were made with, and received by our office, prior to the 75-day deadline.
Acceptance on tour is subject to verification of full payment by VIETNAM BATTLEFIELD TOURS and by completion of all required conditions for the tour and at the discretion VIETNAM BATTLEFIELD TOURS.
Late Reservations - Late reservations (within 75 days of departure) will be accepted on the basis of availability and may be subject to a $150 per person surcharge. Late reservations must be accompanied by full and final payment at the time of registration. Changes within 45 days of departure are subject to a $150.00 administrative fee, plus any airfare and hotel increases.
Written Notice - All reservations, cancellations and changes must be made in writing. To avoid discrepancies, tour operators will not act on information given over the telephone until written notice has been received. (Note that fax and e-mail constitute written notice.)
Cancellations - Deposits for the tour programs and all optional extensions are refundable, when a cancellation notice is received in writing 75 days prior to the date of expedition departure. Cancellations less than 75 days, but before 45 days prior to date of tour departure, are subject to a 50% cancellation fee. Within 30 days prior to date of tour departure, all payments are non-refundable.
Deviations & Changes - A deviation is any change to the tour program outside of the advertised final tour itinerary as set forth by VIETNAM BATTLEFIELD TOURS, excluding pre or post tour options or extensions. Deviations to tour programs are subject to availability and any additional expense incurred may be borne by the passenger, to include VIETNAM BATTLEFIELD TOURS service fee of $100 per person / per deviation. The service fee is non-refundable. Any deviations to tour programs within 75 days of departure are subject to a $150 per person / per deviation and once made are 100% non-refundable.
Travel Insurance - VIETNAM BATTLEFIELD TOURS will provide overseas hospitalization and evacuation insurance for all tour packages. This will be included at no extra cost. NOTE: Medicare, Medicaid, and most US insurance plans do not provide coverage overseas. Please check with your carrier.
Trip Cancellation Insurance - VIETNAM BATTLEFIELD TOURS highly recommends trip cancellation insurance to protect you while you are on the tour. The price for the trip cancellation portion is $8.00 for every $100.00 of your final price. VIETNAM BATTLEFIELD TOURS will provide 360° Travel Protection Plan enrollment forms and full details on insurance in your registration package.
Tour / Cruise Pricing - All prices are based on a minimum of 15 participants and are quoted in US Dollars based on tariffs and exchange rates received from suppliers and available at the time of publication. Prices are subject to adjustment in the event of international currency fluctuations, fuel increases or any unexpected increase in tour costs, state or local taxes and/or local tariffs.
Tour / Cruise Discounts - All discounts and other reductions in tour cost, must be applied prior to final tour billing, (approximately 50 days prior to tour departure). VIETNAM BATTLEFIELD TOURS is not responsible for any unclaimed monies once final billing occurs.
Travel Kits - Final trip materials for fully-paid participants, including airline tickets and vouchers, will be mailed approximately 30 days prior to departure.
Single Share Requests - We attempt to match participants who are traveling alone and who wish to share a room to avoid paying the single supplement charge. Should we be unable to do so, the single supplement will apply and notification of this development can occur at anytime prior to departure.
Ground Only Tour - IMPORTANT NOTE: Your selection of a ground only tour indicates your acceptance of the personal responsibility for providing your own air transportation to and from your departure city to the international destination city. You must also provide VIETNAM BATTLEFIELD TOURS with written confirmation of your independent flight arrangements and a copy of your flight itinerary no later than 75 days prior to date of departure. Failure to do so may constitute grounds for removal from the tour, with all penalties enforced at date of action.
Luggage Allowance - The luggage allowance is limited by the airlines to two pieces of checked luggage, with a maximum combined dimension of 106 inches, from international gateway cities in the USA to international destinations. International airlines are very strict about the amount of luggage that can be carried onto the aircraft. Each person is limited to one piece of carry-on luggage, which must fit under the seat in front or in the overhead compartment.
Participating Airlines - This tour is sold in conjunction with services of ARC member airlines.
Tour / Cruise Participants - In order to insure the smooth operation of all tours and to ensure congenial tour groups, VIETNAM BATTLEFIELD TOURS reserves the right to accept or reject any person as a tour participant and to expel from the tour any person for any reason, including conduct deemed incompatible with the interest of the group.
Physical Disabilities - A qualified helper, who assumes total responsibility for the handicapped participant, MUST accompany the traveler requiring any form of assistance. VIETNAM BATTLEFIELD TOURS reserves the right to exclude from the tour any handicapped person whose physical condition impairs the customary operation of the tour. All participants must be capable of making their own way both on and off the motorcoach. Participants are solely responsible for being in sufficient health to undertake the tour and for taking all appropriate medical precautions. VIETNAM BATTLEFIELD TOURS cannot provide medical advice on inoculations or travel health to participants. Participants are strongly encouraged to contact their family physician or Public Health Service for travel health questions.
Passports and Visas - Valid passports are required for all participants on international tours. Participants may require a Visa when traveling to certain destinations. If Visas are required, the participant is responsible for ensuring that all Visa application requirements are completed and provided to VIETNAM BATTLEFIELD TOURS in a timely fashion. Failure to due so could incur additional processing fees. Failure to complete this requirement is grounds for removal from the tour, with all penalties fully enforced at the time of removal.
Responsibility - VIETNAM BATTLEFIELD TOURS (tour originator), tour producer, tour sponsors, and / or their agents, act only in the capacity of agents for this tour. As such, agent's liability is limited to the conditions specifically assumed by them in this publication. The airlines concerned are not to be held responsible or any act or omission or event during the time the passengers are not on board their aircraft or in the course of any operations of embarking or disembarking. The passenger contract in use by the airlines concerned shall, when issued, constitute the sole contract between the airlines and the purchaser of this tour. Baggage is handled throughout the program entirely at the owner's risk. Insurance forms are provided at the time of booking of tour. The tour operators, and their agents accept no responsibility for losses or additional expenses incurred through delays or changes in flight schedules or transportation service, nor for injury or losses incurred due to weather, strikes, bankruptcy or quarantine or other causes beyond their direct control. If the services and accommodations put forth in this publication cannot be supplied due to causes beyond the control of the tour operator, all reasonable efforts to supply comparable services will be made.
